Cybersecurity Compliance: Is Your Insurance Agency Prepared?

Five steps to strengthen security and stay compliance-ready.

Insurance agencies spend every day helping clients prepare for risk – but how prepared is your own agency for a cyber incident?

From policy details and financial records to personally identifiable information, insurance agencies manage significant amounts of sensitive client data. Protecting that information is essential to maintaining client trust, supporting compliance, and keeping your agency operational.

And that risk is significant, with threats like ransomware remaining a prevalent source of attack – according to Verizon's 2026 Data Breach Investigations Report, ransomware was involved in 48% of breaches it analyzed. Business email compromise remains costly as well, with recent reports recording approximately $3 billion in reported losses from business email compromise scams (FBI 2025 Internet Crime Report).

Insurance agencies are not outside the target zone. In fact, small businesses even account for 43% of cyber attacks, especially those known to house valuable personal customer information.

Cybersecurity preparedness cannot eliminate every threat, but it can make your agency harder to compromise and better prepared to respond. Start by asking these five questions.

1. When did you last assess your cybersecurity risks?

Your agency’s technology environment is constantly changing. New employees, software, vendors, devices, and remote-access tools can introduce risks or leave gaps in existing protections.

A cybersecurity risk assessment helps your agency understand where sensitive information is stored, who can access it, and which vulnerabilities could have the greatest impact. It also helps you prioritize improvements instead of adding security tools without a clear strategy.

2. Are your agency's accounts and access properly protected?

A stolen password should not be enough to access your agency’s email, client records, or critical business systems. Multifactor authentication adds another verification step, while strong password practices help prevent employees from reusing or improperly storing credentials.

Agencies should also regularly review who can access each system. Employees may accumulate permissions they no longer need, while former employees can retain access if offboarding steps are missed.

Access controls are also a common focus of insurance data-security requirements. Depending on the state and agency, organizations may be expected to limit access to nonpublic information, regularly review user privileges, and maintain appropriate protections against unauthorized access.

🔒 By allowing Lightspeed Solutions to manage your agency’s IT, employee onboarding and offboarding can follow a consistent process. Our team can set up accounts and devices, adjust permissions as roles change, and remove access when someone leaves, helping ensure accounts are controlled, monitored, and not forgotten.

3. Can your employees recognize today's phishing attempts?

Phishing messages are becoming more polished and convincing. They may arrive through email, text messages, phone calls, or collaboration platforms and often impersonate a coworker, carrier, vendor, or client.

Insurance professionals should be especially cautious of unexpected requests involving payments, banking changes, passwords, document-sharing links, or client information. An urgent tone or familiar name does not guarantee that a message is legitimate.

One-time training during onboarding is not enough. Regular security awareness training and simulated phishing exercises help employees recognize changing tactics and practice how to respond.

🛡️ Lightspeed Solutions combines ongoing employee awareness training with layered email security. One helps employees make better decisions, while the other works to reduce the number of malicious messages reaching their inboxes.

4. Are your devices continuously protected, patched, and monitored?

Every workstation, laptop, and server connected to your agency can become an entry point if it is unpatched, improperly configured, or no longer being monitored.

Agencies should maintain an accurate inventory of business devices, apply security updates promptly, and monitor for unusual activity. Traditional antivirus can identify certain known threats, but modern attacks often require more advanced detection and active investigation.

Traditional antivirus alone is no longer a complete defense.

🖥️ Lightspeed Solutions supports agencies through remote device management, automated patching, endpoint protection, and 24/7 threat monitoring backed by a Security Operations Center.

5. Does your agency have a documented response plan?

The middle of a cyber incident is not the time to decide who should be contacted, how the threat will be contained, or whether critical data can be recovered.

An incident response plan should establish responsibilities, communication procedures, escalation steps, and recovery priorities. Your agency should also know where its critical data is backed up and periodically confirm that those backups can be restored.

How did your agency perform?

If any of these questions were difficult to answer, your agency may have cybersecurity gaps worth addressing. The goal is not to achieve a one-time passing grade. It is to understand your current environment and continuously strengthen your protection as technology and threats evolve.

Lightspeed Solutions provides proactive IT management, responsive Help Desk support, and layered cybersecurity services designed to keep organizations protected and productive.
